Job description
SECTION I: POSITION SUMMARY
The Program Communications & Outreach Officer manages external communications for the Programs Department and serves as the primary point of contact for program enquiries and proposals. The role coordinates communication with trainers, facilitators, participants and external stakeholders while supporting program planning and delivery. The position also leads outreach efforts to expand Youth Hub's network, increase program participation and ensure effective coordination between internal teams and external stakeholders.
SECTION II: KEY RESPONSIBILITIES
Serve as the primary point of contact for all program-related enquiries and external communications.
Manage the Programs Department email and ensure timely, professional, and accurate responses to all enquiries.
Draft and coordinate program-related correspondence, including emails, invitations, confirmations, follow-up communications, and official letters.
Coordinate communication with trainers, facilitators, speakers, participants, volunteers, and external stakeholders throughout the program lifecycle.
Receive, review, organize, and coordinate incoming program proposals, ensuring timely communication and follow-up with applicants and the Program Team.
Coordinate closely with Program Officers to support the planning, implementation, and successful delivery of programs.
Collaborate with the Marketing Department and other internal departments to ensure programs are communicated, promoted, and delivered effectively.
Conduct outreach activities to promote Youth Hub program, increase participation, and expand Youth Hub's network by building and maintaining relationships with universities, NGOs, community organizations, youth groups, trainers, and other relevant stakeholders.
Build and maintain strong relationships with Youth Hub members and the wider youth community, encouraging active participation and engagement in program.
Maintain accurate records of program communications, proposals, outreach activities, and stakeholder interactions, and prepare regular reports to support departmental planning and decisionmaking.
Ensure effective communication and coordination between internal teams and external stakeholders, providing timely follow-up and resolving communication issues when required.
Perform any other duties assigned by the Program Manager that support the successful delivery of Youth Hub programs and departmental objectives.
SECTION III: QUALIFICATIONS & REQUIREMENTS
Educational Level:
Bachelor's degree in Communications, Business Administration, Marketing, Public Relations, International Relations, Social Sciences or a related field.
Years of Experience:
Minimum 2 years of professional experience in communications, outreach, program coordination, stakeholder engagement or a related field.
Certifications Required:
Not required.
SECTION IV: SKILLS & COMPETENCIES
Technical Skills:
Microsoft Office, Google Workspace, communication management, stakeholder coordination, reporting and documentation.
Soft Skills:
Excellent communication, networking, organisation, coordination, problem solving, customer service, relationship building, time management and teamwork.
Language Requirements:
Excellent written and verbal communication skills in English and Kurdish are required. Working proficiency
